Join the poplar grove community council

Below are some FAQ's about joining the Poplar Grove Community Council including how the election process works, who can join, what's expected, and how to apply!

How do community council elections work​?

  1. At the January general council meeting, elections are announced.
  2. After elections are announced, anyone who is interested is encouraged to apply and be recognized as a candidate before the next council meeting held in February.
  3. At the February general council meeting, all interested candidates are introduced and recognized. It is at this time that each candidate's self-descriptions, reasons for joining, where they want to be involved, and resumes are shared for further review.
  4. At the March general council meeting, all current members that are present will vote to elect new members and appoint any officers and directors.
  5. At the start of April 1st, all newly elected members/officers take their position.

what qualifications are required to join?

There are two types of memberships – individual and organizational.

Individual members must be:
  • 18 years of age or older
  • A current resident of Poplar Grove
​
Organizational members must be:
  • 18 years of age or older
  • A current resident of Poplar Grove, OR
  • Own a property, organization, business, service agency, or institution located in Poplar Grove.​
    ​

What does being a council member entail?

  • Fulfill a 2-year term.

  • Attend monthly meetings. ​Excluding the months of June, July, November, and December, there are two types of meetings that each occur 8 times out of the year:

    Board meetings – Every 2nd Thursday of each month from 6-8pm
    ​Community meetings –  Every 4th Wednesday of each month from 7-8:30pm​​

what type of ROLE can i apply for?

You do not have to run for a seat on the council in order to join as a member. There are several options:

For individual members:
  • General Membership – Composed of non-officers or directors. General members have the ability to vote on any motions presented at general community meetings and can participate in electing members to the Board of Directors during the annual meeting held in March.

For organizational membership roles:
  • The Board of Directors – Composed of 12 members max in addition to the 4 members on the Executive Committee.
    This group attends board and general meetings, tuning in and conducting the needs of the council wherever needed. Resignation may be deemed if a member of the Board misses 3 consecutive meetings without valid reason.

  • The Executive Committee – Composed of 4 Officers of the Council which includes the Chair, Vice Chair, Treasurer, and Secretary.

    Because 2024 is an even-numbered year, the following seats are up for election:

    The Chair – Specific duties include presiding over all meetings, co-signs financial actions with the Treasurer, and performing other duties designated by other members. If the Treasurer is absent, the Chair then proceeds in collaboration with the Vice Chair or Secretary.

    The Treasurer – Specific duties include presiding over financial reconciliation annually, co-signing with the Chair or Vice Chair on all contracts, checks, and financial actions when authorized/requested by the Board of Directors.​​

If you're interested in joining the Poplar Grove Community Council or running for an executive seat,

  2. In the Subject line, put PGCC Interest - [your name]
  3. In your message, describe who you are, why you're interested, and how you envision being involved.
  4. If you intend to run for a specific position/committee, be sure to specify which one.
  5. Attach a resume outlining any experience or skill sets you think the current council should be aware of.
